Brochures & Promotional Print
You are free to print your own brochures (utilize the graphics below). However, we have simplified the brochure and promotional materials process for your convenience. Contact freelance graphic artist Tony Clayton at tony.clayton@suddenlink.net and ask him for a specific quote regarding the following promotional pieces (Tony does not work for Successful Stepfamilies). He will personalize the items for you, order the print, and have them shipped directly to you. He will then invoice you for the order.
· Conference Brochure (Tri-fold): If you only print one promotional piece, print this one. It contains a tear-off registration form that will be tailored to your date, time, location, etc. by Tony. We will put a PDF version of this brochure on our web site so people can print it and register.
· Post-card (6X9) FRONT / BACK: This mass market promotional piece can be distributed in your Sunday worship guide, Bible classes, through local school systems, in business offices, etc. It points people to our web site where they can find specific information on your conference event and print the PDF Conference Brochure.
· Poster (18X24): This poster can be displayed around your congregation, in local businesses, book stores, etc.

Change to Seminar Planner / Props List
The seminar planner (on the “Presentation Room Set-Up & Materials Check List” page) asks you to gather the following items for the conference. You do not need to gather them. I will not be using these items in my conference any more (as of May ’07).
· 8 ropes, each 12-15 feet in length.
· 15 pieces of luggage varying in shape and size (e.g., handbags, large, medium, and small suitcases, shoulder bags, etc.). Large and medium sized bags preferred.
· 3 buckets (metal preferred, but plastic is okay)
· 2 smaller buckets with three handfuls of golf ball sized rocks in each.

FAQ’s, Set-up, and Last Two Weeks Check-List:
Be sure to reference the Seminar Planner for Churches for marketing ideas, conference set-up, audio-visual needs, etc.
Here are some FAQ’s as you prepare for your event:
If we have conference detail questions, who do we contact?
· Nan Deal, Ron’s wife, is the conference coordinator and your main contact person. Her email is nan.deal@successfulstepfamilies.com; phone is 806-356-7701.
· Nan will arrange Ron’s flight and rental car (you arrange the hotel). She also manages our Smart Store and will handle the shipping of workbooks and resources to your location.
· Ron Deal will be in touch with you and your A/V coordinator about two weeks before the conference. Be sure to email that person’s name and contact information directly to Ron (ron.deal@successfulstepfamilies.com).
When do we begin advertising?
· Because of their complex, multi-household family, couples in stepfamilies need a lot of time to plan around a weekend event. Be sure to begin planting seeds with those in your church about three months before the event.
· Begin networking with other churches six months before the event. See if you can identify key “champions” in each church who will help communicate to their staff about the event, arrange to show the promotional video in their assembly, etc., and be a key contact person for members of that church who want to register.
· Promote the event heavily (radio, bulletin inserts, posters, etc.) the last 8 weeks.
· Set a registration deadline 2 weeks before the event with an early bird savings of at least $20 over the regular rate (to motivate people to sign-up early).
Who schedules Ron’s travel itinerary?
· Nan Deal will schedule Ron’s flight and rental car.
· We ask you to reserve a hotel in his name and send us the reservation confirmation. Preferred hotel chains include: 1) Marriott (includes Renaissance and all Marriott hotels); 2) Hilton family of hotels (includes Coral, Conrad, Hilton, DoubleTree, Embassy Suites, Hampton Inn, and Homewood Suites); and 3) Holiday Inn (Intercontinental, Crowne Plaza, Holiday Inns, and StayBridge Suites).
· Please send Nan driving directions from the airport to the seminar location and hotel about two weeks before the event.
How many attendees should we expect?
Of course, the number of registrants varies. However, plan for around 100 people to attend the event. You can make preparation changes up or down as the time draws closer. Also, expect a 50% surge in registrations during the last two weeks (some people are just last minute no matter how much lead time you give them).
Can we reduce our cost by limiting couples to one workbook?
No. The Seminar Planner requests that each person receive a workbook. This allows each person to record their own notes and process the information presented.
What details occur during the last two weeks?
· Nan Deal will call two weeks in advance to get your registration count. Then, she'll ship workbooks (adding extra for last minute registrants) and resources for the sales tables to the appropriate contact person.
· Give Nan the name and contact information of the key resource table volunteer; she will train them over the phone to manage the resource sales.
· Ron will need to visit with the audio/visual coordinator for your event. They will discuss his presentation needs and set up a time to test-run the system when he arrives.
· Please send Nan driving directions from the airport to the seminar location and hotel about two weeks before the event.
· Remember to cut Ron’s check for the remainder of his Speaking Fee (the contracted amount minus the $500 deposit). An email itemizing Ron’s travel expenses will be sent to you after the conference. You can pay for the workbooks and expenses at that time.
What about set-up and Check-in details?
· Remember to consult the Seminar Planner for Churches. It includes set-up details, props needed for the presentation, etc. If you can't find it there, by all means, call us!
· As specified in the Seminar Planner, we prefer round tables for the participants. Feel free to be creative in decorating the tables. For example, it is nice to have mints, candy, etc. on the table, and it is also great to have water available at each table.
· If available, have a bar stool and a small side-table available for Ron on the stage.
· Remember that you do not have to gather the props listed in the Seminar Planner (ropes, rocks, buckets, suitcases, etc.).
· When people check-in, have a copy of our Stepping Forward Campaign document stuffed in their workbook (one per couple or individual is fine).
· Also at check-in, hand participants a copy of our Conference Order Form (see below) so they can browse resources available on the resource table. Place 30 extra copies on the resource table itself. Color copies preferred.
What about resource sales?
· Again, consult the Seminar Planner for details. Download the Conference Order Form here (in Texas use this Texas Conference Order Form which includes sales tax). Please make one copy for each couple or individual (stuff in workbook received at check-in time) and put 30 extra copies on the resource table itself. Front & back, color copies preferred.
· Be sure to have volunteers ready to handle sales for Ron. Email Nan Deal their names and she will talk with them before the conference about how to take orders.
· Our system handles credit card, cash, and check purchases.
